Privacy Notice – KitNewCare Benchmarking Tool

The KitNewCare project is committed to protecting your data and respecting your privacy in accordance with the General Data Protection Regulation (GDPR) and applicable data protection laws.

What data we collect

We collect the following information:

  • Account user information: Names and email addresses of staff signing up to the benchmarking tool (for account creation and login purposes).
  • Benchmarking data: Organisational data consisting of general information on the kidney centre, health outcomes, social impacts, resource data which will be converted into environmental impacts, and costs. All data will be in aggregated form only, which does not identify individuals, patients or staff.

Purpose of processing

Your data is processed solely for the following purposes:

  • To create and manage user accounts for secure access to the benchmarking tool.
  • To enable participation in the benchmarking tools piloting in order to support the projects objectives in creating a validated, robust and user friendly benchmarking tool that could be used by kidney centres across Europe.

Legal basis

Processing is based on:

  • Legitimate interest in delivering and operating the benchmarking tool
  • Consent, where required (e.g. account registration, completed ethics applications and consent forms from the sites participating)

Data protection and security

We take appropriate technical and organisational measures to protect your data, including:

  • Secure storage and access controls
  • Limiting data collection to what is strictly necessary
  • Processing data in compliance with GDPR requirements

Data sharing

  • Personal data (names and email addresses) are not shared beyond authorised project members (040 and the Benchmarking Tool Team).
  • Site specific results on the benchmarking tool are only visible to the site itself and the authorised project members (040 and the Benchmarking Tool Team).  
  • Data entered into the benchmarking tool will solely be used for the purpose of developing the tool and will not be shared outside of its purpose.

Data retention

  • The benchmarking tool’s retention policy is aligned with KitNewCare project governance. Data is retained until 31 December 2028 which reflects project end date (31 December 2027) plus a 12month reporting and audit period. However, data may be deleted earlier at the request of a user or organisation.

Your rights

You have the right to:

  • Access your data
  • Request correction or deletion
  • Restrict or object to processing
  • File a complaint with a data protection authority
